Purpose. Supervisors use this template to plan and record a toolbox talk with their crew, including the topic, the key messages, questions raised and who attended.

1.Purpose of a toolbox talk

A toolbox talk is a short, focused safety conversation with a crew, usually at the start of a shift. It is used to share the lessons from an incident, introduce a change to a procedure, remind the crew of a seasonal hazard or check that everyone understands a control.

2.Preparing the talk

Pick one topic and keep the talk to 10 to 15 minutes. Read the current procedure or the incident findings before the talk and note the three points the crew must take away. Bring the equipment or document you are talking about where you can.

3.Running the talk

Deliver the talk where the crew can hear you and see any equipment. Ask questions and invite the crew to describe how the topic applies to their task today. Record every question, concern or suggestion raised, and any action you agree to take.

  • Confirm actions and who owns them

4.Attendance

Everyone present must print and sign their name. Workers who miss the talk must be given the key messages by the supervisor before they start the task and their name added with the date they were briefed.

5.Filing

Enter the completed record into the Safety and Environment Register as a toolbox talk entry within two working days and keep the signed sheet on the site file. The SHE and Certification Manager reviews the register each month to confirm that every crew has had a talk.
