Purpose. Sales staff use this template to prepare a material take-off from a customer plan and turn it into a priced quote with the product, grade, treatment, quantities, delivery and validity clearly stated.

1.When to use this template

Use this template for any customer request that involves a plan, a cutting list or a description of a job, such as a deck, a fence line, a wall frame or a pergola. Counter sales of stock lines at list price do not need a quote.

2.Reading the plan

Confirm the plan revision and date with the customer before starting. Identify every timber element, its section size, length, grade, species, treatment level and finish. Where the plan does not state a grade or treatment, apply the default in the product guide and note the assumption on the quote.

3.Calculating quantities

Take off each element by count and length, then convert to stock lengths with the least waste, allowing for cutting and for the joints and laps the design requires. Record the calculation so another person can check it. Round up to whole pieces and whole packs where the product is sold by the pack.

4.Pricing

Apply the current price list and the customer's trade discount from the customer orders system. Add delivery based on the zone and the truck required. State whether prices include the goods and services tax. Quotes above the value in the delegation table must be approved by the Merchandising Manager before they are sent.

5.Terms and validity

State the validity period, the lead time, the stock availability at the time of quoting, and that the certified claim applies only to the products marked. Record the quote in the customer orders system with the status Quoted.

  • Chain of custody claim where eligible

6.Follow-up

Follow up every quote within five working days and record the outcome. Convert accepted quotes to a confirmed order without re-keying.
